Metadata Settings

The Metadata panel lets you define custom AI labels that Hintyr extracts from your documents. Each field has a name and a description that guides the AI extraction. Custom labels appear as categories in the Table of Contents and in metadata exports.

Define custom metadata fields for AI extraction

Enabling custom metadata fields

Toggle the Custom AI Labels switch to enable the feature. When you first enable it, an empty field row appears so you can start defining your schema. When disabled, existing metadata is preserved but the AI will not extract custom labels for new files.

Defining metadata fields

Each metadata field has two parts:

  • Name - A short label for the field (displayed in Title Case in the interface). This becomes the column header in the Table of Contents and exports.
  • Description - A detailed instruction that tells the AI what to extract. The more specific the description, the more accurate the extraction. For example, "Names of all parties mentioned in the document" is better than "parties".

Click Add Field to add a new row. You can add up to 20 fields per case. To remove a field, click the delete icon next to it.

How metadata fields affect the Table of Contents

Custom metadata fields appear as additional categories in the Table of Contents sidebar. When you define a field such as "Document Type", the AI analyzes each file and assigns values (for example, "Deposition", "Contract", "Correspondence"). These values become groupings in the Table of Contents, letting you filter and browse files by custom categories.

Fields also appear in metadata exports, giving you structured data for reporting and integration with other tools.

Metadata field best practices

  • Write clear, specific descriptions. "The monetary amount of damages claimed" produces better results than "amount".
  • Define fields before uploading files. The AI extracts metadata during processing, so files uploaded before a field is created will not have that label until reprocessed.
  • Use consistent naming. Fields like "Document Type" and "Doc Type" may cause confusion in the Table of Contents.
  • Start with a small number of high-value fields and add more as your review progresses.

Frequently asked questions

How many custom fields can I create?
You can create up to 20 custom metadata fields per case.
Do existing files get updated when I add a new field?
No. The AI extracts metadata during file processing. Files uploaded before a field was created will not have that label until they are reprocessed.
What happens if I delete a metadata field?
Deleting a field removes it from the configuration. Previously extracted values are preserved in the file metadata but the field will no longer appear as a category in the Table of Contents.
Can I edit a field description after creating it?
Yes. You can update both the name and description at any time. Changes affect future extractions but do not retroactively update previously processed files.
