The Bates panel controls automatic Bates numbering for new file uploads. Toggle automatic stamping on or off, and configure the stamp's mode, position, prefix, suffix, start index, digit padding, font, size, and color. A live preview updates as you adjust settings.

Configure automatic Bates numbering for the case

When enabled, new files uploaded to this case will automatically receive bates numbers.

When automatic Bates numbering is enabled, a visual preview appears at the top of the configuration area. It shows a miniature page with your stamp positioned exactly where it'll appear on actual documents, using your chosen font, size, and color.

Automatic Bates numbering toggle

The Automatic Bates Numbering switch controls whether new files uploaded to the case are automatically stamped. When enabled, the full configuration form appears below. When disabled, you can still apply Bates numbers manually to individual files. For complete details on all Bates workflows, see the Bates numbering section.

Bates numbering configuration options

The following fields control the format and appearance of the Bates stamp:

  • Mode - Choose between Page mode (each page gets a unique number) or Document mode (each document gets one number applied to all its pages).
  • Position - Select where the stamp appears: Auto (intelligent placement), Bottom Right, Bottom Left, Top Right, or Top Left.
  • Prefix - Text prepended to the number (for example, "ABC" or "DOC_"). Up to 20 characters. Defaults to "DOC_" in Document mode and "PAGE_" in Page mode unless you override it.
  • Suffix - Text appended after the number (for example, "-PRIV"). Up to 20 characters. Optional.
  • Start Index - The first number in the sequence. Defaults to 1.
  • Digits - The number of zero-padded digits (for example, 6 digits produces "000001"). Range: 1 to 15.
  • Font - Helvetica, Arial, Franklin Gothic, Times New Roman, or Courier.
  • Size - Font size in points. Range: 8 to 72.
  • Color - Black, White, Orange, or Red.

Global stamping options

Two toggles appear at the top of the panel and apply to both automatic and manual Bates stamping:

  • Auto-adjust for landscape pages - When enabled, the stamp position adapts for landscape-oriented pages so it remains in the expected corner.
  • Add white space to protect content - Adds a thin white strip behind the stamp to ensure it does not overlap existing page content.

Gap detection report

The Bates panel includes a Sequence Analysis section that detects gaps and overlaps in your Bates number sequence. It reports the total stamps present, along with any gaps and overlaps. Frequently asked questions

Do settings changes affect files that were already stamped?
No. Changes to Bates settings only apply to new files uploaded after the change. Existing stamped files retain their original numbering.
What is the difference between Page and Document mode?
Page mode assigns a unique sequential number to every page across all documents. Document mode assigns one number per document, applied to all pages of that document.
Can I apply Bates numbers manually if automatic is disabled?
Yes. You can always apply Bates numbers to individual files from the document viewer, regardless of the automatic numbering setting.
What does the Auto position do?
Auto position uses intelligent placement logic to position the stamp where it is least likely to overlap existing content on the page.
