Batch redaction searches for keywords across multiple files in your case at once. Results are organized by file, and you review each file's matches individually before applying redactions. It's an efficient way to redact the same terms across a large document set.

Accessing batch redaction across multiple files

To start a batch redaction, open the case menu and select Keyword Search & Redaction. This opens the batch redaction interface, which is separate from the single-document keyword search panel. The batch interface is built for working across your entire case or a selected subset of files.

Entering keywords for batch redaction

Enter the keywords you want to find. Provide multiple terms separated by commas, such as "Social Security, date of birth, taxpayer ID." Each term is searched independently across all files in the case. Click Search to begin.

The search processes all files at once. Because it can span hundreds of documents, it may take a moment. A progress indicator shows the overall status while the search runs.

The two-step batch redaction process

Batch redaction follows a two-step workflow. First, the system searches all files and displays results. Second, you review matches for each file and apply redactions on a per-file basis. This gives you control over each file while still benefiting from the speed of a bulk search.

Separating search from apply ensures no redactions happen without human review. Even in a batch workflow, you always see and approve specific matches before they become permanent.

Reviewing batch redaction results by file

After the search finishes, the results panel shows each file with a status indicator:

  • Ready - Matches found, waiting for your review
  • Searching - Search is still running for this file
  • Redacted - Redactions have been applied to this file
  • Failed - An error occurred during search for this file
  • No matches - The keywords were not found in this file

Click any file with Ready status to open its matches. You'll see the same keyword-grouped match list as in the single-document keyword search, complete with page numbers, context text, and checkboxes for each match. Select or deselect individual matches, then apply redactions for that file.

Batch keyword search works on scanned documents and image-based PDFs as well as born-digital files. Hintyr uses AI-powered text detection to find text within images and scanned pages. Your keyword search covers the document types in your case, including scanned contracts, faxed correspondence, and photographed records.

Yes. Run additional batch searches at any time. The system tracks which matches have already been redacted and excludes them from new results to prevent duplicate work.
