Invite external parties to the Discovery Portal from Case Settings or the Case Menu. Enter an email address, optionally set tag permissions, and send the invitation. The invitee receives a secure link that expires after 30 days.

Accessing the discovery portal invite form

You can reach the invite form two ways. Open your case, go to Case Settings, and select the Share Portal tab. Or click the Case Menu in the top bar and select the share option. Both paths open the same Share Portal panel shown above.

Sending a discovery portal invitation

At the top of the Share Portal panel you'll see the Invite Discovery User section. Enter the recipient's email address in the text field. Below it, a tag permissions table lets you pre-configure which tags the invitee can access. Check the View or Upload boxes for each tag as needed.

When you're ready, click Send Invite. Hintyr sends an email with a secure invitation link. The panel switches to the Pending tab so you can confirm the invitation was created.

Discovery portal invitation link and expiry

Each invitation link is valid for 30 days from the date it was sent. The Pending tab shows the creation date and expiration date for every outstanding invitation. If an invitation expires before the recipient accepts it, a red Expired badge appears next to the email address.

You can resend an expired or active invitation by clicking the refresh icon next to it. This generates a new 30-day link and sends a fresh email to the recipient. You can also revoke any pending invitation by clicking the delete icon, which invalidates the link immediately.

Accepting an invitation

When the recipient clicks the invitation link, they're prompted to sign in with any authenticated account. They don't need to belong to your organization or have a pre-existing Hintyr account. After signing in, the case appears on their Discovery Dashboard and they can start accessing the tags you've permitted.

Once accepted, the user moves from the Pending tab to the Discovery Users tab. Their join date and current permission summary appear alongside their email.

Managing pending invitations

The Pending tab lists all invitations not yet accepted. For each invitation you can:

  • Resend - Click the refresh icon to send a new invitation email with a fresh 30-day link.
  • Revoke - Click the delete icon to cancel the invitation. The link becomes invalid immediately.

Frequently asked questions

Can I invite someone who already has an organization account?
Yes. If someone is already an organization member, they can also be invited as a discovery user on a different case. They will have dual access and can switch between their organization dashboard and discovery dashboard.
What happens if the recipient does not have a Hintyr account?
When they click the invitation link, they will be prompted to create an account. The sign-up process is the same as for any new user. Once authenticated, they gain discovery access to the shared case.
Can I change permissions before the invitee accepts?
Tag permissions set during invitation are applied when the user accepts. To change permissions for a pending invitation, revoke it and send a new one with the updated settings.
Is there a limit to how many invitations I can send?
No. You can send as many invitations as needed. There is no cap on pending invitations or accepted discovery users.
