Managing Tags

Once you've created tags, you can rename them, delete them, view file counts and membership types, and re-evaluate smart tag criteria. All management actions are available through the tag context menu in the Tags tab.

Renaming a tag

Right-click any tag in the Tags tab (or click the menu icon next to it) and select Rename. A dialog appears where you type the new name. Renaming doesn't affect the files assigned to the tag or any smart tag criteria that reference it. If other smart tags use the renamed tag via a Has Tag condition, those references update automatically.

Renaming works for both manual and smart tags. Use descriptive, consistent names to keep your tag list organized, especially in cases with many tags. Consider adopting a naming convention across your team to avoid confusion.

Deleting a tag

To delete a tag, open its context menu and select Delete. A confirmation dialog appears before the tag is permanently removed. Deleting a tag removes it and its file associations, but the files themselves stay in the case. No documents are deleted when you remove a tag.

If other smart tags reference the deleted tag via a Has Tag condition, those conditions become invalid and you'll need to update the referencing smart tag. Review your smart tag dependencies before deleting a tag that might be referenced elsewhere.

Viewing file count and membership type

Each tag in the Tags tab displays a count of how many files belong to it. This count updates in real time as you add or remove files. Click any tag to expand it and see the full list of member files with their names, types, and dates.

Within an expanded tag, each file shows its membership type: either manual (added by hand) or criteria (matched by smart tag conditions). This distinction helps you understand why a file is in a particular tag and whether a reviewer placed it there intentionally or the system matched it automatically. Smart tags also display a sparkle icon next to the tag name.

Re-evaluating smart tags

After uploading new files or after document processing completes, you may want to re-evaluate a smart tag to pick up newly matching documents. Open the Tag Wizard, select the smart tag from the dropdown, and click Update Smart Tag. The criteria run against all files in the case and the tag membership refreshes.

Manual overrides are preserved during re-evaluation. Files you manually added stay included, and files you manually removed stay excluded, regardless of whether they match the criteria. Only criteria-based membership is recalculated.

The tag context menu

Right-click any tag (or click the menu icon next to it) to open the context menu. The available options depend on the tag type:

  • Rename - Change the tag name. Available for both manual and smart tags.
  • Delete - Remove the tag entirely. Files remain in the case.
  • Edit criteria - Open the Tag Wizard with the tag's saved conditions loaded. Only available for smart tags.
  • Validate (TAR) - Run a technology-assisted review validation on the tag for quality control and defensibility.

Frequently asked questions

Can I undo deleting a tag?
No. Deleting a tag is permanent. A confirmation dialog appears before deletion to prevent accidental removal. If you delete a tag by mistake, you'll need to recreate it and re-assign files.
What happens to smart tags that reference a deleted tag?
