Tags let you organize and classify case documents into meaningful groups. Create manual tags for ad-hoc categorization like privilege designations and responsiveness coding, or use the Tag Wizard to build criteria-driven smart tags that match files based on metadata, dates, and relationships.

What tags do

Tags are your primary organizational tool for document review. Each tag acts as a labeled collection of files, letting you group documents by topic, privilege designation, responsiveness coding, custodian, date range, or any other case-specific dimension. Click a tag in the document browser to expand it and see all member files along with a count.

A single file can belong to multiple tags at once. A contract might carry both "Privileged" and "Key Exhibits," letting you view it from either perspective. Tags don't nest hierarchically, but you can use naming conventions like "Review - Priority" and "Review - Complete" to create logical groupings in the list.

Manual tags vs smart tags

Hintyr supports two tag types. Understanding the difference helps you pick the right approach:

  • Manual tags - Created with the Create Tag button. You add files individually through the file actions menu or in bulk via multi-select. Best for subjective categorization like "Review Priority" or "Key Exhibits."
  • Smart tags - Created with the Tag Wizard. Files match automatically based on criteria you define. Best for repeatable, criteria-driven categorization like "Emails from opposing counsel" or "Documents mentioning the settlement agreement."

Both types appear in the Tags tab and work the same way for viewing, expanding, and navigating to member files. The only difference is how files get assigned. You can also manually add or remove files from a smart tag, and those manual changes take precedence over the criteria results. For a deeper look, see manual tags and smart tags.

Tag types at a glance

Here are the three main ways files end up in a tag:

  • Manual - You select files and add them by hand. The tag stays exactly as you left it until you change it.
  • Smart (auto-update) - The Tag Wizard evaluates criteria you set. Re-evaluate the tag anytime to pick up newly matching files. See smart tags.
  • Snapshot - The Tag Wizard evaluates criteria once at creation time and captures matching files into a regular manual tag. It won't update when new files arrive. See snapshot tags.

Each tag in the Tags tab displays an icon so you can tell at a glance whether it's manual or smart. Smart tags show a sparkle icon next to their name.

What is the difference between manual and smart tags?

No. Deleting a tag removes only the tag and its file associations. The files themselves stay in the case. You can always re-tag them later.
